What is Google Business Profile management?

The definition, then why a neglected profile costs calls.

Google Business Profile management is the ongoing care of your free Google listing, so it shows the right categories, services, hours and photos and keeps earning calls from Maps and local search. It covers the profile itself, the updates you post and the way you handle reviews.

Setting a profile up takes an afternoon. Keeping it right takes a little attention every month: a new service, a change of hours over bank holidays, fresh photos, a review that needs a careful reply. When nobody owns that work, details drift, competitors overtake you and, occasionally, a well-meant edit triggers a suspension.

You may also see this called Google My Business optimisation, or Google Business Profile optimization in American guides. One-off optimisation fixes the profile once; management keeps it right. How to set up and verify a Google Business Profile

Most problems start at set-up, so it is worth doing once, properly.

  1. Check for an existing listing first

Many businesses already have an unclaimed or duplicate profile. Claiming it avoids a second listing that competes with the first.

  2. Use your real trading name

The name on your signage and paperwork, with no towns or keywords added. Stuffed names are a common reason for suspension.

  3. Choose address or service areas

Show an address only if customers visit you there. Otherwise hide it and list the areas you cover.

  4. Complete verification without edits in between

Today this is usually a short video showing your signage, premises or tools. Changing details mid-review often restarts it.

  5. Fill in everything once verified

Categories, services, hours, phone, website, photos and a description written for customers, not for search engines.

Already verified but not showing for searches in your area? Our local SEO service looks at the website and citations around the profile too.

Categories and services: the details that decide relevance

How to add services to your Google Business Profile, and which category to lead with.

The primary category does more for local rankings than almost anything else you can edit. It should describe what you do in the narrowest true terms: a boiler engineer is better described as a heating contractor than as a general plumber if heating is where the work comes from. Secondary categories then cover the rest, without padding.

Services sit underneath. Google suggests some for each category, and you can add your own with a short description of up to 300 characters. Writing those in the words customers use, and keeping them consistent with the service pages on your website, gives Google and AI assistants the same clear picture from two directions. A heating firm covering Stockport and Salford should see those towns named in its service areas and on its website alike.

  • One primary category, chosen from what earns you money
  • Secondary categories only where you genuinely offer the service
  • Every service listed with a short, specific description
  • Matching service pages on your website

Why Google Business Profiles get suspended, and how we fix it

A suspension can remove you from Maps overnight. Most have a cause that can be found and corrected. If yours has gone, tell us what happened and we will look at it first.

Common causes we seeHow we put it right
A virtual office or co-working desk used as the address

Service-area set-up with the address hidden, or a staffed location that meets the guidelines.

Keywords or town names added to the business name

The real trading name restored everywhere, matching your signage and documents.

Two profiles for the same business

Duplicates identified and Google asked to merge or remove them.

Big edits made all at once

Changes to name, address or category made one at a time, with evidence ready.

Reinstatement form sent without evidence

An appeal with photos of signage, business registration and utility or bank documents.

Reviews: replying well and dealing with unfair ones

Reviews influence rankings, but the replies influence the next customer.

Most people read the replies as closely as the reviews. A short, specific thank-you that mentions the job and the area shows you are active and genuine. A calm, factual reply to a complaint, offering to sort it out offline, often reassures a reader more than another five-star rating would.

Reviews that break Google's policies, such as spam, a competitor posing as a customer or offensive content, can be reported for removal. Honest negative reviews cannot, and trying to bury them with fake or incentivised ones is both against Google's rules and banned under UK consumer law. We never write, buy or swap reviews; instead we help you ask every customer, at the right moment, in one tap.

  • Every review answered within a few days
  • Policy-breaking reviews reported with the right reason
  • A review link ready to send after each job
  • No gating: every customer asked, not just happy ones

Posts, photos and keeping the profile active

Small, regular updates that tell Google and customers you are open for business.

Updates, offers and events appear on your profile and give customers a reason to choose you today. They do not move rankings much on their own, but an active profile with recent photos of real work converts noticeably more of the people who find it. We plan a couple of updates a month around your calendar: seasonal services, new products, availability, recent projects. Shops on Shopify can also show products from their store, and a Website Care plan keeps the pages each post links to working.

Photos matter more than most owners expect. Pictures of your team, vehicles, premises and finished work help customers trust you before they call. We do not rely on folklore such as geotagging images; we rely on photos that are real, recent and clearly yours.

Bing Places, Apple Maps and AI assistants

Your Google profile is the hub, but it is not the only listing that matters any more.

Bing Places can import your details straight from Google, which saves time. The risks are that imported data overwrites something you had fixed on Bing, or that a second listing appears for the same business. We import once, then check both listings line by line. Apple Business Connect controls how you appear in Apple Maps and Siri, and is worth claiming for any business with walk-in customers.

These listings now feed AI answers as well as maps. Copilot is built on Bing, Google uses Business Profile data in AI Overviews, and other assistants pull local facts from several map providers. When all of them agree on your name, services and hours, you are far easier to recommend. Our AI Search Optimisation plans track whether that is happening.

Google Business Profile questions

See also our FAQ page.

How much does it cost to have my Google Business Profile looked after?
It is included in our local SEO plans from £495 a month, excluding VAT, alongside citations and review support. There is no separate set-up fee. See local SEO services for everything in the plan.
Will you take ownership of my profile?
No. You stay the primary owner. We ask to be added as a manager, which lets us edit the profile without ever controlling it. You can remove us at any time.
Can you get a suspended profile reinstated?
Often, yes, but nobody can promise it. We find the likely cause, correct it, then submit an appeal with evidence such as signage photos and business documents. Profiles that were set up against the guidelines need fixing before an appeal can succeed.
How long does verification take?
Google chooses the method. A video verification is usually reviewed within a few working days; other methods vary. Making edits while a review is pending tends to slow it down, so we plan changes around it.
Can I list my business if I work from home?
Yes, as a service-area business. Your home address is used for verification but hidden from customers, and you list the towns or postcode areas you cover instead.
Can you remove a bad review?
Only Google can remove a review, and only if it breaks Google's policies, for example spam, conflicts of interest or offensive content. We report those properly and help you write a calm, factual reply to the rest.
Is Google My Business the same as Google Business Profile?
Yes. Google renamed Google My Business to Google Business Profile, and most editing now happens directly in Google Search and Maps rather than in a separate app.
How do I remove a Google Business Profile?
If the business has closed, marking it as permanently closed is usually better than deleting it, because the listing stays accurate. Owners can also remove a profile from its settings. Duplicate listings are handled differently, by asking Google to merge or remove them.
